Project Coordinator

LOCATION: Charlotte, NC

This role will be working closely with our advisory services team to coordinate project activities, resources, and information dissemination. This person must be able to help organize clients and consultants while maintaining a good relationship and attitude. This role may also support consultants on certain presentations by helping to create and refine PowerPoint presentations, take notes during training meetings, and create summaries. Finally, this role will manage the home office, and support scheduling and administrative tasks for Director of Finance, Director of Talent, and Director of Data Analytics. The role will work directly with the executive team, consultants, and clients to drive standard processes and timely delivery across the company.

 

 Project Coordination (70%)

  • Coordinate internal resources and third-party vendors for the flawless execution of projects and tracking of key metrics across the delivery organization
  • Develop detailed project plans to track progress for organization assessments, executive assessments, and other client engagements as needed
  • Develop project scopes and objectives while involving all relevant stakeholders
  • Make sure that internal and external clients’ needs are met as projects evolve
  • Monitor project progress and handle any issues that arise with a positive attitude
  • Act as the point of contact and communicate status for project teams
  • Create and maintain comprehensive project documentation for both internal and external use
  • Be a direct relationship manager for the client, third-party vendors, and all stakeholders for critical projects
  • Identify and manage risks for critical measures for projects
  • Help with online facilitations through technical support, annotations, notetaking, etc.
  • Create communications plans, launch surveys, track reminders, collect and analyze the data and input into reports and presentations (experience with Excel and Qualtrics preferred)
  • Develop new tools and processes to improve the coordination, reporting, and delivery of client-facing projects

 

Office Management (30%)

  • Handle various administrative tasks as assigned with initiative and good judgment
  • Provide general administrative support for Directors of Finance, Talent, and Data Analytics including, scheduling internal and external meetings, calls, scanning, faxing, and calendar management
  • Light inventory management (e.g., tech equipment, kitchen supplies, office supplies, etc.)
  • Maintain strictest confidentiality
  • Perform related work as required/assigned by supervisor
  • Maintain compliance with all company policies and procedures

 

Qualifications:

  • Bachelor’s degree
  • 5 years of applicable work experience in project coordination
  • Technical background/hands-on experience with surveys and basic data analysis, statistics, and summarization
  • Strong client-facing and internal communication skills
  • Ability to maintain a positive outlook and attitude among changing timelines or other challenges to the plan
  • Solid organizational skills, including attention to detail, time-management and multi-tasking abilities
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices
  • Excellent computer proficiency (MS Office – Word, Excel and Outlook)
  • Process-oriented with strong analytical and problem-solving abilities
  • Excellent written and verbal communication skills
  • Experience in a consulting or services firm environment
  • Experience in a fast-paced, startup environment
  • Must be based in Charlotte, NC or the surrounding area. Capable of working productively from home and in the office (2-3 days/week)
